DAVOS EVENT PROCUREMENT · PUBLIC-SOURCE INTELLIGENCE

What suppliers can do.
What you still need in writing.

A documented starting point for researching the official event, hospitality, technical and logistical services available in Davos. Every operator link leads to the original source. Nothing here is a quote, endorsement or confirmed availability.

SOURCE REGISTER · 27 OCTOBER 2026

Six published procurement routes.

We distinguish what each operator actually publishes, what that leaves unresolved and what your purchasing team should request before committing.

01 · Independent venue sourcing and group accommodation

Davos Convention Bureau

Operator evidence: The destination office describes a free search, offers with availability and option dates, and a single local contact for meetings.

Buying trap: Its published free service is not proof of a confirmed venue. Get the actual operator, written hold, inclusions and validity.

Ask for: Event date, 3 feasible configurations, agreed option deadline, delivery access, VAT and cancellation.

02 · Group transfers, supporting programmes and logistics

Davos Services GmbH

Operator evidence: The operator describes transfers, hotel reservations, activities, restaurants and on-site support, with a processing fee on the event value.

Buying trap: Do not assume the full event-management service is free because some hotel request services are described as free.

Ask for: Written fee basis, transfer capacities, subcontractors, winter fallback, booking deposits and insurance.

03 · Registration, exhibitor and conference operations

Davos Congress PCO

Operator evidence: Official provider lists accommodation, delegate and exhibitor management, event support, technology and catering.

Buying trap: Standard conference services are not automatically included in a room quote or suitable for a standalone hotel event.

Ask for: Named contracting entity, responsibilities, equipment, overtime, sub-contracting and cancellation.

04 · AV and in-house technical support

Davos Congress Technik

Operator evidence: Operator lists standard AV, projection, technical personnel and selected inclusions with the basic congress-room rental.

Buying trap: Standard kit is not a completed bespoke stream, recording or translation production.

Ask for: Room-specific included kit, technical rehearsals, recording permission, staff shifts, internet and redundancy.

05 · Congress Centre catering

Gastronomie Kongresszentrum

Operator evidence: Operator describes tailored coffee breaks, lunch, buffets and gala dining, with guide prices and tailored quotations.

Buying trap: Published catering guide prices do not resolve guest count, menu, service hours or an external venue.

Ask for: F&B line items, dietaries, minimum spend, staffing, equipment, overtime and tax.

06 · Published room rates and delegate packages

Hotel Grischa

Operator evidence: The operator displays room-specific prices and packages, including CHF 120/day for Parsenn and CHF 50/person for a half-day meeting package on its checked page.

Buying trap: The two prices are not comparable full-event budgets. Neither guarantees dates, WEF-week pricing, taxes or inclusions.

Ask for: Fresh signed quote for the exact period, layout, per-person services, room, equipment, tax and cancellation.

WORKING PROCUREMENT TEMPLATE

Make three quotations comparable.

Download a blank, 25-field spreadsheet-ready CSV template. It captures the same dates, layout, scope, currency, exclusions and permissions for three suppliers without pretending to know their prices.

RATE NORMALISATION

CHF 120 for a room is not CHF 50 per delegate.

Hotel Grischa’s publicly displayed example lists CHF 120 per day for the Parsenn room and CHF 50 per person for a half-day delegate package.

Those figures cover different commercial units, and they are not equivalent finished-event prices. There may be different conditions, dates, equipment and taxes. Request a current written quote for your programme rather than deriving a market average from them.

COMMON QUOTE DENOMINATOR

SCOPE AND AUTHORITY

Independent research is not a supplier endorsement.

Our original contribution is the side-by-side evidence register, the questions that prevent scope confusion and the tools to translate those answers into an executable brief. The published facts and prices remain the property and responsibility of their respective operators.

For the 2027 annual meeting, planning restrictions and the construction quota require separate authority checks. See the dated Davos operating intelligence before proposing a temporary venue or installation.

THE NEXT BUYER DECISION

Move from supplier research to an accountable brief

Published capabilities are not current availability. Before treating a supplier profile as procurement evidence, issue a consistent scope and request named responsibility and exclusions.
